How we handle the information we gather when you visit our web site

We collect and store only the following information about you: The name of the domain from which you access the Internet; the date and time you access our site; the item you requested from the server; and the Internet address of the web site from which you linked directly to our site. When we examine this data, it is always presented in an aggregate form. Except as outlined in the Security section at the bottom of this document, we do not track or look at individual’s usage behavior.

What is a cookie?

A session cookie is a line of text that is stored temporarily in your computer’s RAM. Because a session cookie is never written to a drive, it is destroyed as soon as you close your browser. Carolina Designs Realty uses these types of cookies as you move from page to page during the reservation process. A persistent cookie is a more permanent line of text that gets saved by your browser to a file on your hard drive. Carolina Designs Realty uses these types of cookies for the sole purpose of having the Reservation Request fields already populated for returning users. If you have your browser set to notify you before accepting cookies the notice will tell you if the cookie expires some time in the future or not. Persistent cookies have an expiration date in the future. Session cookies have no date associated with them.

Use of cookies

We have set our software so that your browser will only return cookie information to the domain where the cookie originated. No other site can request it. When you return to this site, the cookie is sent back to the web server, along with your new request. We use this information to create summary statistics which are used for web site planning and maintenance and to analyze system performance. This information tells us the number of visitors to the different sections of our site and helps us understand if our site is meeting the needs of our visitors. This information is only presented in an aggregate form, never for an individual user.

We will make a sincere effort to respond to your requests to correct personal information inaccuracies in a timely manner.

We also take appropriate steps to protect your privacy. Whenever you provide sensitive information (for example, a credit card number to make a reservation), we will take reasonable steps to protect it, such as encrypting your card number. We will also take reasonable security measures to protect your personal information in storage. Credit card numbers are used only for processing payments and are not retained for any other purpose.

Your personal information will only be used by Carolina Designs Realty.

If you identify yourself by sending an E-mail

When you send us personally-identifying information, (e.g., in an electronic mail message), or by filling out a form that E-mails us this information, we use this information to respond to your request.

We want to make it clear that we will not obtain personally-identifying information about you when you visit our site, unless you choose to provide such information to us (for example, filling out the form for the reservation or brochure request). Except for authorized law enforcement investigations, or as otherwise required by law, we do not share any information we receive with any outside parties.

Security

For site security purposes and to ensure that this service remains available to all users, the Carolina Designs Realty webserver employs industry-standard methods to monitor network traffic to identify unauthorized attempts to upload or change information, or otherwise cause damage. Unauthorized attempts to upload information or change information on the Carolina Designs Realty server is strictly prohibited and may be punishable by law, including the Computer Fraud and Abuse Act of 1986 and the National Information Infrastructure Protection Act.

In the specific context of this security monitoring, there is no expectation of privacy. However, only in the case of actual law enforcement investigations, will we attempt to identify individual users or their usage habits.

Check-in / Check-out

PLEASE NOTE: Due to COVID-19, check-in procedures have changed. Visit our Enhanced COVID-19 Protocols page for more information.

Every effort is made to have your vacation home ready for check-in at 4pm. If your home is cleaned and ready for occupancy before this time, the lease holder will be notified via email. Other members of the leaseholder’s party can sign up for this early notification service here. Please note that if your home is available early, it is not guaranteed that the pool and hot tub will have been serviced by check-in.

Two Types of Entry Code

  • Lease Entry Code: This code activates at 4pm on check-in day and de-activates at 10am on check-out day.
  • Early Release Code: This code is provided to guests in the event that the home is ready to occupy before 4pm. It works on a temporary basis to allow early entry and will deactivate at 4pm on the day of check-in. At that time the lease entry code must be used for home access throughout the balance of your vacation.

How You Receive Entry Codes

  • Lease Paid in Full: If your balance is paid in full, you will receive a lease entry code via email in advance of your scheduled check-in day.
  • Lease Balance Due: Outstanding balances must be paid before you are eligible to receive a keyless entry code. Those with balances due on check-in day must contact our office immediately to make payment.
  • On the day of check-in, lease holders will receive an email when your vacation home is ready for check-in. Other party members may sign up for this service here.

You will find the following on the kitchen counter of your rental home:

  • Important guidelines and policies
  • Area trash schedules
  • Subdivision information (if applicable)
  • Parking passes (if applicable)
  • Rebooking forms if you intend to reserve this home next year

Check-out Information:

  • Check-out time is 10am and your lease entry code will expire at that time.
  • Checking out is easy. The leaseholder will receive a text or email two days prior to the lease end date, which will guide you through the simple process.
  • Certain homes are available to be rebooked for the same week the following year. The deadline for rebooking is noon on the Monday following your departure. Please email us at reservations@carolinadesigns.com or call 800-368-3825 to check availability.
